FinovaOS HR & Payroll: Complete Setup Guide for Your Business

FinovaOS's HR & Payroll module handles the full flow from employee onboarding to monthly payslips and payroll journal entries. Statutory deduction lines (EOBI, PESSI, income tax, provident fund, etc.) are configurable per employee — you set the rate or amount once, and it runs the same way each month. Here's how to set it up.

Step 1: Add Your Employees

Go to HR → Employees → Add Employee. Fill in the employee's personal details, designation, department, date of joining, and base salary. Each employee record becomes the anchor for their salary structure and deductions.

Step 2: Configure Salary Components

For each employee, set up their salary structure: basic salary, housing allowance, transport, medical allowance, and any other allowances. FinovaOS uses this to calculate gross salary before deductions.

Step 3: Set Up Deduction Lines

Add the deduction lines each employee needs — EOBI, PESSI, income tax, provident fund, loan repayment. Enter either a fixed amount or a percentage of basic salary. When statutory rates change, you update the deduction line and the new rate applies from the next payroll run.

Step 4: Income Tax Handling

Configure the annual income tax slab for each employee as a monthly deduction line. This keeps net salary and withholding accurate throughout the year, and the annual salary summary gives your tax consultant the numbers they need for FBR filing.

Step 5: Run Monthly Payroll

Go to HR → Payroll → Run Payroll, select the month, review each employee's gross, deductions and net, and approve. FinovaOS generates individual payslips, posts the payroll journal entry to your accounts, and marks salaries as paid.
